Using Create Rendition for SharePoint Online

PDF renditions can be made for different document and image formats. The rendition can be made for each file or for multiple files combined.

  1. Select the document(s) for which to create a PDF rendition.
    From the available documents, hover on a row and click the checkmark on the left to select it. Repeat if multiple documents are to be included in the PDF rendition.
  2. On the SharePoint menu bar select Files > Create Rendition to display the Create Renditions tab and make the rendition settings.
    On the Create Rendition Settings tab, the links listed under help at the right of each setting describes each rendition setting.
    The four settings are:
    1. Specify whether to create a single PDF of the files by combining them or an individual PDF per file.
    2. Specify the version, pages and metadata of each selected file to be included in the PDF rendition. If these are not specified then the defaults (current version, all pages and metadata excluded) are used.
      The order of the documents in the combined PDF can be adjusted using the arrow buttons under move up and move down. Documents can be still be excluded from the PDF at this point by clearing the Include file checkbox.
    3. Specify a filename for the combined PDF rendition. For individual files, the source filename is automatically used with the pdf extension and you do not have the option to change it.
    4. Specify the output folder path for the PDF rendition. The default is the selected files path.
  3. After making the rendition settings, click Create Rendition.
  4. The message, Success, is displayed and the rendition filenames are listed stated the PDF rendition has been successfully created along with an Open Output folder button. Click the button to display the folder of PDFs. Click individual files to view its contents.
    If the processing is not successful, the message, Error, is displayed. Click Return to Library to return to your Documents folder.
